Cost of an employee calculator (2026 employer payroll taxes)
Employer payroll taxes in 2026 are 7.65% FICA (6.2% Social Security on the first $184,500 plus 1.45% Medicare) plus 0.6% FUTA on the first $7,000 plus your state unemployment tax, according to IRS Topics 751 and 759 (checked October 16, 2026). For a $60,000 employee in Texas that is $4,875 a year.
The calculator below adds those lines for any state, then your benefits, workers comp and payroll software, so you see the full yearly cost of one hire.
Cost of an employee is gross pay plus everything the employer pays on top of it: employer payroll taxes (FICA, FUTA, SUTA and state programs), benefits, workers comp insurance and payroll administration.

Employer payroll tax calculator
Pick the state where the employee works and enter annual gross pay. The calculator applies that state's 2026 SUTA wage base and prefills the new employer rate when the state has one simple rate; otherwise the rate field stays blank and the state's rule shows under the result, so type the rate in (see the table below). Replace the rate with the one on your state rate notice if you have one. Add monthly benefits, your workers comp rate and your payroll software fee to see the full yearly cost.
Federal rates: Social Security 6.2% to $184,500, Medicare 1.45%, FUTA 0.6% on $7,000 (IRS, checked October 16, 2026). State rates from each unemployment agency. This is an estimate for budgeting, not a payroll run.
How each line is calculated
| Line | Formula | Source |
|---|---|---|
| Social Security | 6.2% of pay, up to $184,500 of pay (most $11,439) | IRS Topic 751; SSA 2026 fact sheet |
| Medicare | 1.45% of all pay, no cap | IRS Topic 751 |
| FUTA | 0.6% of the first $7,000 = $42 per employee | IRS Topic 759 |
| State unemployment (SUTA) | Your rate x pay up to the state wage base | State unemployment agency for each state |
| Benefits | Monthly employer cost x 12 | Your quote |
| Workers comp | Pay / 100 x your rate per $100 of payroll | Your carrier or state fund |
| Payroll software | Per-employee monthly fee x 12 | Provider pricing page |
The calculator does not include the employee's own withholding (income tax, the employee 7.65% FICA, the 0.9% Additional Medicare Tax over $200,000), because those come out of gross pay and are not an extra cost to you.
Social Security stops when pay reaches $184,500, so the employer share falls for high earners. In 2027 the cap rises to $192,300 (SSA, Oct 14, 2026). The full federal table, with deposit rules and W-2 dates, is on 2026 payroll tax rates.
States where you enter or change the SUTA rate
The calculator prefills the SUTA rate only when a state has one simple new employer rate, for example Texas 2.70% or Florida 2.7%. Where the rate has parts, depends on your industry or changes by quarter, the field stays blank and the state's rule appears under the result. Until you type a rate, the calculator counts state unemployment as $0, so the total is too low. Use these figures:
| State | Prefilled | Enter | Why |
|---|---|---|---|
| California | 3.4 | 3.5, or 5.0 with the potential FUTA credit reduction | 3.4% UI plus 0.1% ETT, both on the $7,000 base. The potential 1.5% FUTA credit reduction also applies to the first $7,000, so adding it here gets the total right. |
| Ohio | 2.7 | 2.85 | Adds the 0.15% Technology and Customer Service Fee on $9,000. |
| New York | Blank | 4.1 | 4.025% UI plus the 0.075% Re-employment Service Fund. |
| New Jersey | Blank | 3.3 | 2.8% UI and workforce total plus 0.5% employer TDI for new employers, all on $44,800. |
| Georgia | Blank | 2.70 | 2.64% contribution rate plus the 0.06% administrative assessment. |
| Colorado | Blank | 3.05 | Beginning rate 1.53% plus 0.17% support and 1.35% solvency surcharges. |
| Nevada | Blank | 3.00 | 2.95% plus the 0.05% Career Enhancement Program. |
| Maine | Blank | 2.54 | 2.23% UI plus CSSF 0.14% and UPAF 0.17%. |
| Missouri | Blank | 2.376 | Includes the contribution rate adjustment. |
| South Carolina | Blank | 1.06 | 1.000% base plus 0.060% DACA. |
| South Dakota | Blank | 1.75 in year 1 | 1.20% reemployment assistance tax plus a 0.55% investment fee. |
| Alaska | Blank | 1.00 | Employer share; the employee pays another 0.50% on the same base. |
| Montana | Blank | 1.18 for most industries | 1.00% plus the 0.18% Administrative Fund Tax; some industries start higher. |
| North Dakota | Blank | 1.00 (non-construction) | Positive-balance schedule; construction is 9.67%. |
| Wisconsin | Blank | 3.05 or 3.25 | 3.05% under $500,000 of taxable payroll, 3.25% at $500,000 or more. |
| West Virginia | Blank | 2.7 | State handbook rate; the DOL July 2026 table shows 2.50%. |
| District of Columbia | Blank | 2.7, or higher | 2.7% or the prior-year average employer rate, whichever is higher. |
| New Hampshire | Blank | Your quarterly rate | Statutory 2.7%, reduced to 1.7% in Q1 2026 by a solvency reduction (Bloomberg Tax, secondary). |
| Virginia | Blank | Your notice total | 2.5% base rate plus add-ons, including a 0.05% administrative fee. |
| Minnesota | Blank | Your industry rate + 0.40%, then add 14% of that | Industry average rate plus the 0.40% base rate, plus a 14.00% additional assessment. |
| Washington, Utah, Louisiana, New Mexico, Wyoming | Blank | Your assigned rate | Industry average or industry base rate, no flat rate. Washington's $78,200 base makes this line large. |

One full-time employee paid $60,000 a year, new employer, 2026 rates. Taxes only, before benefits, workers comp and software.
| Line | Texas | California | New York | Washington |
|---|---|---|---|---|
| Social Security 6.2% | $3,720.00 | $3,720.00 | $3,720.00 | $3,720.00 |
| Medicare 1.45% | $870.00 | $870.00 | $870.00 | $870.00 |
| FUTA | $42.00 | $147.00 (2.1% if the credit reduction is confirmed) | $42.00 | $42.00 |
| SUTA and state add-ons | $243.00 ($9,000 x 2.70%) | $245.00 ($7,000 x 3.4% UI + 0.1% ETT) | $721.60 ($17,600 x 4.1%) | Your industry rate x $60,000 (all of it is under the $78,200 base) |
| State paid leave, employer share | None | None (SDI is employee paid, 1.3%) | Employer funds Disability Benefits through its insurer (not priced) | $193.70 if you have 50 or more employees (28.57% of 1.13%) |
| Employer taxes | $4,875.00 (8.13%) | $4,982.00 (8.30%) | $5,353.60 (8.92%) | $4,632.00 plus SUTA, plus PFML if 50 or more employees |
Math: 6.2% x $60,000; 1.45% x $60,000; FUTA 0.6% (California 2.1%) x $7,000; SUTA = state base x new employer rate. Sources: IRS Topics 751 and 759; DOL FUTA credit reduction potential list for 2026; EDD, NYS DOL and Washington ESD rate pages. Checked October 16, 2026.
Adding benefits and software
Say the Texas employer above also offers a $500 a month QSEHRA allowance (under the 2026 cap of $6,450 for self-only coverage) and runs payroll on Gusto Plus for a 10-person team ($80 + 10 x $12 = $200 a month, or $20 per employee). The year looks like this:
- Gross pay: $60,000
- Employer taxes: $4,875
- QSEHRA: $500 x 12 = $6,000
- Payroll software: $20 x 12 = $240
- Workers comp: your carrier's rate x $600 (pay / 100)
Total before workers comp: $71,115, or 18.5% on top of salary. Change the inputs to see how much the benefit choice moves the number compared with taxes.
Payroll software cost per employee
Payroll providers charge a monthly base fee plus a per-person fee, so the cost per employee falls as you grow. Enter the per-employee figure for your team size in the calculator.
| Provider and plan | Price | 5 employees | 10 employees | 25 employees |
|---|---|---|---|---|
| Patriot Full Service | $37 + $5 per worker | $12.40 | $8.70 | $6.48 |
| Gusto Simple | $49 + $6 per person | $15.80 | $10.90 | $7.96 |
| OnPay Payroll Essentials | $49 + $6 per worker | $15.80 | $10.90 | $7.96 |
| Justworks Payroll | $50 + $8 per employee | $18.00 | $13.00 | $10.00 |
| QuickBooks Workforce Payroll + Simple Start | $88 + $6.50 per employee | $24.10 | $15.30 | $10.02 |
| Gusto Plus | $80 + $12 per person | $28.00 | $20.00 | $15.20 |
Per employee = (base + per-person fee x headcount) / headcount. Source: each provider's pricing page, checked October 16, 2026. Excludes add-ons and promotional discounts. ADP and Paychex do not publish prices.
Add-ons change this. Patriot charges $12 a month for each additional state, and Gusto Simple covers a single state. See what payroll services cost for add-ons and the best payroll software ranking for how these providers score.
What the calculator leaves out
- FUTA credit reduction. California is on the 2026 potential list at 1.5%. Add it to the SUTA rate as shown in the table.
- State paid leave and disability premiums paid by the employer. Washington PFML (employer pays 28.57% of 1.13% at 50 or more employees, on up to $184,500), New Jersey TDI 0.5% for new employers, Colorado FAMLI 0.88% (split up to 50/50; employers with 9 or fewer employees owe only the 0.44% employee half), Minnesota Paid Leave 0.88% (split up to 50/50) and Delaware Paid Leave 0.80% (employer may pass up to 50% to employees). Enter your share in the benefits field.
- Local payroll taxes. Some cities charge the employer directly, for example Denver's Occupational Privilege Tax of $4.00 per employee per month and San Francisco's business taxes. See Denver payroll taxes and Philadelphia wage tax.
- Retirement match. If you match 401(k) deferrals, add the match to benefits. The 2026 employee deferral limit is $24,500.
- Paid time off, bonuses and overtime. These are pay, not on-costs, but they raise gross pay and every tax line.
- PEO fees. A PEO bills taxes, workers comp and benefits together with an admin fee. Compare on what a PEO costs per employee.
We do not publish a typical benefits or workers comp cost, because we have not found an official source that fits a small employer. Use a broker, carrier or state fund quote. Our workers comp cost guide and small business health insurance guide explain what drives those quotes.

Common mistakes when estimating employee cost
- Adding the employee's 7.65% FICA to your cost. You withhold it from pay; your cost is your own 7.65%.
- Applying SUTA to all pay. SUTA stops at the state wage base: $7,000 in California, $9,000 in Texas, $78,200 in Washington.
- Using 0.6% FUTA in California. The potential 2026 credit reduction makes it 2.1%, or $147 per employee.
- Keeping the new employer rate forever. After 2 to 3 years most states assign an experience rate, which can be far lower or far higher. Check every rate notice.
- Forgetting the second state. A remote employee in another state usually means a second SUTA account and different rates.
